Data controller: Velorix SL (trading as “Relocation Centers”) · CIF B88770201 · Registered office: Avenida Federico Soto 13, Planta 2, Puerta A, 03003 Alicante, Spain · Contact and establishment address: Calle Navas 25, 03001 Alicante · [email protected] · Legal Notice
This policy explains what personal data Velorix SL collects when you contact us or use relocationcenters.es, why we collect it, the legal basis for processing it, how long we keep it, who we share it with, and the rights you have under the EU General Data Protection Regulation (GDPR) and Spanish data-protection law (LOPDGDD). This policy also covers rent2buyespana.com: its data controller is also Velorix SL.
1. Data we collect
- Data you give us when you contact us through our website forms, WhatsApp, email or phone: your name, email address, phone number, the language you prefer and any details of your relocation enquiry you choose to share.
- Technical data collected automatically when you browse the site: IP address, browser type, device, and pages visited, via cookies and similar technologies (see section 8).
- Chat messages you write to Sofi, the AI assistant on our website: we use them to answer your enquiry and keep them for up to 90 days. If you ask us to contact you, we also keep the details you leave in the chat form (see section 5).
2. Why we use your data and the legal basis
- To respond to your enquiry and give you information about our services — based on your consent and on steps taken at your request before entering a contract.
- To provide the relocation services you contract (NIE, visas, property search, banking, schools, Rent-to-Buy, etc.) — based on performance of our contract with you.
- To meet our legal, accounting and tax obligations — based on compliance with a legal obligation.
- To improve our website and measure traffic — based on your consent (analytics and marketing cookies).
3. Who we share your data with
We do not sell your data. To deliver an end-to-end relocation service we may share the data strictly necessary with vetted partners acting on your behalf — for example partner law firms, gestorías, banks, schools or removal companies — and only to carry out the service you have requested. We also use trusted service providers (for example hosting, email and messaging tools) that process data on our instructions under a data-processing agreement.
The main service providers we use are: HighLevel Inc. / LeadConnector (customer management and the video-call booking calendar; United States), Paycomet, S.L.U., the payment institution of the Banco Sabadell group (card payments on our payment page; Spain), Stripe Payments Europe Ltd. (card payments on invoices we email), formsubmit.co (delivers some website forms to our mailbox), Anthropic (the AI model that writes Sofi's answers; United States), and Google and Meta for the analytics and marketing cookies described in section 8. Transfers outside the EEA are protected as described in section 4.
4. International transfers
Your data is primarily processed within the European Economic Area. Where a provider processes data outside the EEA, we rely on adequacy decisions or the European Commission’s Standard Contractual Clauses to protect it.
5. How long we keep it
Enquiry data (name, email, phone, notes): we keep it only as long as needed to handle your request and for no more than 12 months from the last contact. Documents you upload to your Journey (passport or ID, visas, contracts, payslips, bank statements): we keep them while we work on your case and delete them automatically 6 months after the last activity in your Journey. We email you before that so you can download them, and you can ask us to delete them at any time. Backup copies are purged on a 14-day cycle. Separately, and only for as long as the law requires (up to 6 years), we keep your contract with us and the invoices, in restricted mode.
6. Your rights
You have the right to access, rectify, erase, restrict or object to the processing of your data, to data portability, and to withdraw consent at any time. To exercise any of these rights, email [email protected]. You also have the right to lodge a complaint with the Spanish Data Protection Agency (AEPD, www.aepd.es).
7. Security
We apply appropriate technical and organisational measures to protect your data against loss, misuse or unauthorised access.
8. Cookies
A cookie is a small file stored on your device. We use:
- Essential cookies needed for the site to work and to remember your language preference. These do not require consent.
- Analytics and marketing cookies (Google Analytics 4 and Meta Pixel) that help us understand how the site is used and measure our campaigns. They are only set if you accept them in the cookie banner, and you can withdraw or change your choice at any time with the “Cookie preferences” link at the bottom of every page.
We remember your choice for 12 months and then ask you again. Cookies used: _ga (Google Ireland Ltd., up to 24 months) and _fbp (Meta Platforms Ireland Ltd., up to 3 months); both providers transfer data to the US under the EU-US Data Privacy Framework. You can also delete or block cookies through your browser settings; some parts of the site may then not work as intended.
9. Automated document verification (Journey)
When you upload identity or property documents to our online moving-plan tool (the “Journey”), an AI system may automatically check them for legibility and completeness before a member of our team reviews them. This is based on the performance of the service you requested. No decision with legal or similarly significant effects on you is taken automatically — a human always reviews your documents before any outcome. We keep the files only for as long as necessary to deliver the service, and then delete them.
10. Changes to this policy
We may update this policy from time to time. The “last updated” date at the top shows the current version.
